Privacy Policy

Who we are

RankByReviews ("we", "us") is an Australian review management service. We help businesses invite their customers to leave reviews, respond to reviews, and understand their online performance. This policy explains what personal information we collect, why, and how we handle it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Information we collect

Account information: your name, email address, business name and login details when you create an account.

Contact lists: names, phone numbers and email addresses of your customers that you upload or that flow in from connected systems. You remain responsible for having the right to use these details; we process them only to provide the service to you.

Messages and responses: review invitations we send on your behalf, delivery status, ratings and private feedback submitted through your review page.

Billing information: payments are processed by Stripe. We do not store your card number.

Usage data: standard analytics about how the website and app are used (for example via Google Analytics), and technical logs kept for security.

Google user data

If you sign in with Google or connect a Google service, we access only the data needed for the feature you enable: your basic profile and email address for sign in; your Google Business Profile reviews and review replies so you can read and respond to reviews from your dashboard; and read-only Google Analytics and Search Console data so we can show your performance dashboard.

We use this data only to provide these features to you. We do not sell Google user data, do not use it for advertising, and do not allow humans to read it except with your consent, for security purposes, to comply with the law, or where necessary to operate the service.

RankByReviews's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect Google access at any time from your dashboard settings or at myaccount.google.com/permissions. When you disconnect, we delete the stored access tokens and stop syncing.

Your customers' information

When a business uses our service to contact you (for example a review invitation by SMS or email), we process your name and contact details on that business's behalf, only to deliver the invitation and record your response. Reply STOP to any SMS to opt out of further messages. Private feedback you submit is shared with the business it concerns.

How we use information

To operate the service: sending invitations, recording outcomes, syncing reviews, drafting suggested replies, showing analytics and processing payments.

Suggested review replies may be drafted with the assistance of an AI provider. Only the public review content and your business profile details are used for drafting; drafts are never posted without your approval.

We do not sell personal information. We share it only with the service providers needed to run the service (such as Twilio for SMS, our email delivery provider, Stripe for payments, Google for connected services) and where the law requires.

Storage, security and retention

Data is stored on servers we control, hosted in Australia, and protected in transit by TLS. Connected account tokens are encrypted at rest. Access is limited to what is needed to operate and support the service.

We keep information while your account is active. You can ask us to delete your account and its data at any time, and we will do so except where we must keep records by law.

Access, correction and complaints

You can ask for a copy of the personal information we hold about you, or ask us to correct it, by emailing [email protected]. If you have a privacy concern we will respond promptly. If you are not satisfied with our response you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).

Changes

If we change this policy we will post the new version here with a new effective date. Significant changes will be announced in the app or by email.
